General Information

The following information is correct at the time of print and is subject to change at any time. A full list of policies and procedures will be made available at the time of booking.

Arrivals

Our staff will greet each child warmly on their arrival at the camp and will record the child's attendance in the daily register straightaway, including the time of arrival.

Departures

Staff will ensure that parents or carers sign children out before they leave, including the time of collection.

Children can only be collected by an adult who has been authorised to collect them on their registration form.

The child's parents or carers must inform the Camp in advance if someone who is not listed on the registration form is to collect the child. The Pastoral Co ordinator will contact the main parent or carer for confirmation if they have any concerns regarding departures.

The parent or carer must notify the Camp - the Pastoral Co ordinator - if they will be late collecting their child. If the camp is not informed, the Uncollected Children policy will be followed.

Children will not be allowed to leave the camp alone and arrangements should be made for children to be collected at the end of each session.

Booking

Q Camps cares for children between the ages of 5 and 14. Places are offered on a first-come first-served basis. When all places have been filled, any additional children will be placed on a waiting list and we will notify their parent or carer if any places become available due to cancellations. Your child's safety and welfare is paramount. Parents or carers must complete all the necessary paperwork, ie the registration, booking, sun-cream permission and photo permission forms, before their children can attend the camp. The forms and payment for the booked sessions should be returned to the camp as soon as possible.

All fees are payable in full at time of booking in order to secure your child's place at Q Camps.

Fees can be paid by cheque or by Electronic transfer , it is preferable fee's are paid for via the Q Camps Paypal Payment system.

Places for Q Camps are limited so fees will be charged for booked sessions whether the child attends or not. No refunds can be given unless the place can be immediately re-sold.

Lunches and breaks

A lunchbox should be brought to camp. We do not have refrigeration facilities at all times at the camps. We suggest either you provide ice packs during hot weather or a small cool bag (lunch box size) containing a frozen carton of juice or a small ice pack. This will keep the contents cold until lunchtime. Children should bring a healthy, balanced packed lunch, plus any snacks for break times. It would be ideal if the children brought their own plastic refillable water bottle as water is available throughout the day. The children can then also take the bottle along with them when participating in outdoor activities. As food will not be available on site a charge of £10 will be incurred if a child requires lunch provided by the camp.

Activities

There will be a wide range of activities available to cater for all your child's needs. It will be a great opportunity for your child to try new activities in a warm, friendly environment. Although children will be encouraged to participate in all activities, they will not be made to take part in something they do not want to. Queenswood have excellent sports facilities including a modern four lane indoor swimming pool, an astro turf pitch, football facilities, rounder's pitches and over 27 tennis courts. There is plenty of open space for other activities so boredom is certainly not an option!

For swimmers a swimming test, supervised by a qualified lifesaver, is run at the start of each swimming session in order to assess a child's ability to swim. Buoyancy aids can be available for weak or non-swimmers, and a member of staff is always present near the shallow end of the pool to supervise beginners. If you have any concerns please contact us.

What to bring

Please provide your child with the following every day :
1. Packed lunch
2. A snack and drink, refillable drinks bottle if possible
(both separate from their packed lunch)
3. Swimming kit
4. A change of clothes
5. A Waterproof Jacket

First Aid

We house qualified first aiders at the camps and have other back up staff on site who can deal with accidents and illnesses. If a child suffers a more serious injury or fall ill at camp you will be contacted immediately.

Child Exclusion

Time will be spent in the morning discussing what is expected of your child in the Q Camp code of conduct. We will encourage children to behave well, ensuring your child and the group enjoy their time here. Sometimes when behavior becomes disruptive it can compromise the camp atmosphere. A simple traffic light system approach is adopted to make the child aware of which levels of behavior are acceptable. You as a parent or carer will be informed at each level. If a child continually show disruptive/ inappropriate behavior Q camps may decide to exclude your child.

Insurance

All children attending Q Camps courses are covered by our public liability insurance. A copy of our certificate can be provided on request.

Data protection

Q Camps are aware of its obligations under the Data Protection Act 1998.

Safeguarding Children & Child Protection

Q Camps is committed to building a 'culture of safety' in which the children in our care are protected from abuse and harm. The Camp will respond promptly and appropriately to all incidents or concerns of abuse that may occur. The Club's child protection procedures comply with all relevant legislation and with guidance issued by the Local Safeguarding Children Board (LSCB). All camp staff are reference checked and CRB cleared .

Weather

Fun, Indoor facilities are available at all times but we always try to make the most of the good weather by using the outdoor areas. When this is not possible, we will make greater use of the indoor space. Children should bring their swimming kit with them every day.
